Summary:

The coordinator supports the anatomic pathology lab operations by expediting the process of requesting the transfer of pathology slides and tissue blocks from/to outside hospitals, handling requests to send tissue material to outside labs for testing and sending pathology slides to other pathology departments for consultation at the request of pathologists. Additionally, by serving as the interface between the pathology division and patients/other hospitals, the coordinator fullfils requests for retrieving current and archival pathology materials, initiates and documents the quality control review and ships the material as required. In addition, the coordinator handles incoming requests for: clinical trials, biomarker studies, private consultations, outreach services and the international digital pathology consultations and manages the patient registration process accordingly. The coordinator handles the prompt and accurate delivery of slides from the off-site lab to the trainees and pathologists and transfers cases to other Penn Medicine pathology departments on demand. The coordinator manages the incoming fine needle aspiration (FNA) phone line and dispatches FNA teams promptly to minimize delay, manages organizing and filing of the completed surgical pathology and cytopathology slides and assists the chief of services with some quality control tasks. Coordinator prepares cases for various weekly tumor boards and special projects. Perform slide scanning to digitize pathology slides for online transmission and storage.

 

Responsibilities:

Answers telephones, promptly and courteously; takes requests for pathology material and accurately records the information, provides accurate patient information when requesting pathology material from other institutions. Correctly prioritizes requests for pathology material and keeps technical and management staff informed accordingly. Correctly assess acceptability of pathology slides and tissue blocks for release and for outside testing; notifies the appropriate party when samples are found to be unacceptable for testing and documents action according to procedure. Handles the operations of the assigned tasks under the direction of the supervisor/manager. Ensures assigned tasks are properly documented and patient care related functions are completed promptly and accurately. Provide guidance to the team members on how to handle issues and resolves problems. Professionally interacts with internal and external clients and resolve concerns and expedite patient care related tasks.

 

Helps the supervisor/manager investigate issues related to missing, mislabeled cases or incorrectly ordered or handled cases. Provides guidance to clients on how to properly submit pathology material for consultation and testing.Under the supervision of the supervisor/manager, oversees the support and dispatching of the FNA teams at HUP West, Pavilion and the Perelman Center. Ensure the administrative tasks related to fine needle aspiration and the transcription of the report is done promptly and accurately,Under the direction of the supervisor/manager ensures activities related to QA function and CPDI document scanning tasks are handled and completed promptly. Ensures block and slide receipt and sent are electronically documented and material are promptly returned to the outside clients. Ensures the divisional archival material are kept organized and are maintained up-to-date.Under the direction of the supervisor, ensures that all requests related to the clinical trial, biomarker research requests, weekly tumor boards, are promptly handled and documented. Supports various clinical and non-clinical requests by pathology faculties.Operates slide scanning equipment to digitize pathology slides for online transmission and storage. Perform quality control on digitized scans as required.Coordinates pick-up and delivery of pathology material between different Penn Medicine pathology departments. Handles private consultation registration and accessioning and is responsible for urgent outreach cases and digital consultations from overseas.
